Gas safety checks for local landlords

What does the check cover?

We check the relevant landlord-provided gas appliances and flues, record the findings and explain any safety concerns. Tell us about every gas appliance when booking, including boilers, gas fires and cookers, so we can confirm the scope of the visit.

Your annual check applies to appliances and flues you provide for your tenants. Tenant-owned appliances are generally their responsibility, but landlords still have responsibilities for associated installation pipework. An annual check does not replace the ongoing duty to keep gas installations safe.

Your landlord gas safety record (CP12)

After the required checks are complete, you receive a landlord gas safety record, often called a CP12 or gas safety certificate. It identifies the property, appliances checked, engineer, inspection date and any defects or action taken.

• Give existing tenants a copy within 28 days of the check.
• Give new tenants the current record before they move in.
• Keep records for at least two years.

When should you book?

Arrange a gas safety check every year for the appliances and flues covered by your landlord duties. Book ahead of the due date to leave time for access arrangements and any repairs.

You can normally have the check completed up to two months before its due date and retain the existing annual deadline, provided the relevant requirements are met. If using this flexibility, keep the record until two further checks have been completed. Send your previous record when booking so the dates can be checked.

Gas safety check or boiler service?

The gas safety check records the safety of the appliances inspected. A boiler service is maintenance carried out in line with the manufacturer's instructions. A service alone does not replace the landlord gas safety check and record.

Gas safety check: £70. Boiler service: £80. Both together: £100. Booking both during the same visit saves £50 compared with booking them separately. Any additional repairs or parts are discussed separately.

Preparing for the appointment

• Send the full property address and postcode.
• List the gas appliances and any known problems.
• Provide the landlord or agent's details for the record.
• Agree access with the tenant and provide an appropriate contact number.
• Keep access to the appliances, meter and relevant inspection points clear.
• Have the previous gas safety record available if possible.

If a tenant will not allow access, keep a record of your correspondence and reasonable attempts to arrange the check. Do not force entry. Start arrangements early and seek advice if access remains unresolved.

What if an appliance is unsafe?

We explain any defects, record the findings and advise on the action needed. Unsafe appliances must not be used until made safe; isolation or disconnection may be necessary. Landlords must act promptly on safety defects.

The record documents the results, including any faults, rather than guaranteeing a pass. It is issued when the checks are complete, even if remedial work remains. Keep records of subsequent repairs with it.
